GPAs often have to pay a bunch of people. There are two different types of payment:

  • Departmental - paid from a department's operating budget
  • Trust - paid from money awarded to an individual or program (grant, trainee program, assistantship, scholarship - these have many names) and held in trust by the university


Departmental Scholarships

MEDICAL SCIENCE SPECIFIC

Here’s a summary of the steps regarding scholarship payments:

1. Compile list of eligible students for a particular term that meet the following program requirements:

  • Submitted annual progress report and Francine has approved
  • Submitted research proposal and research proposal approval form and Francine has approved (if applicable)
  • Are registered as full time (or part-time in the case of Med Ed students) on PeopleSoft

2. Add Employment Instance using the Combination Code issued to MDSC - 000023282

3. Create Scholarship payment (MSc receive $2050, PhD receive $2550) and print out the payment screen for each student

4. Add the names of the students that were processed for payments on the MDSC Graduate Student Support spreadsheet (for accounting purposes)

5. Inform the student by email (cc the supervisor) that they have received a scholarship payment for fulfilling program requirements (I’m sure you can word this brilliantly)


After the end of the month:

· If a student informs you that he/she did not receive the payment, contact Robin Slot (slot@ucalgary.ca) as he approved these payments

· If a MED ED student informs that that he/she did not receive the payment, tell them to pick up their cheque from room 202, Administration building, main campus (you probably want to let the Med Ed students know this when you email them that they will be receiving the scholarship.

Program Specific Award payments – travel to conference / 1st author paper publication

· Once Francine approves the award, add an employment instance for a student that has not yet received an MDSC award this year

· Create the scholarship payment using the same combination code as for the MDSC Graduate Student Support Scholarship


National Awards - NSERC--ExecGerbil 09:51, 23 September 2008 (MDT)

Recent changes were announced by NSERC regarding the NSERC PGS and IPS application processes; please review Program responsibilities when submitting applications to the Graduate Scholarship Office.

1. There is a change to Form 200: Appendix 2. Programs are no longer required to rank applicants and therefore do not have to complete any portion of the Appendix 2. (The Scholarship office will calculate and complete the GPA portion on Appendix 2)

2. Having said that, you must confirm a student has a first class average - 3.50 GPA or higher - before forwarding their application to our office. Please do not forward applications if the student does not meet this eligibility criteria. NSERCs guidelines (below) will help you determine if the student is eligible. Our office would like to know how many applications were submitted to your program versus how many you forwarded. If you do not forward a student's application, please let the student know right away so they may apply for other funding.

3. Transcripts must be originals and come to you in a sealed envelope (whether attached to the student's application or sent directly to your office) Please do not make notations on the transcripts when confirming first-class average

4. Reference letters must also come to you in sealed signed envelopes

5. Complete applications must be submitted to the Graduate Scholarship office no later than 4:30 pm Wednesday, October 15, 2008

NSERC has also announced a change to the Industrial Postgraduate Scholarship Program - International students are now eligible to apply for IPS funding. 20% of available awards will be given to International students on a first come first serve basis. Please visit NSERCs website for full details.

And finally, we will be sending out an email regarding the new Vanier Canada Graduate Scholarships within the next day or two (just finalizing the competition process with Dr Hall, Dean of Graduate Studies)
